The Problem

Between formal inspections, buildings still need to be evidenced

Condition surveys, EICRs, fire risk assessments, gas safety checks and legionella risk assessments each give a snapshot on the day. In the months and years between them, building owners, managing agents and the contractors who look after their buildings still need to show that conditions were checked, defects were found and actions were closed — whether that is for an insurer, a client, a regulator, a tenant or a court. Most are still doing it on paper, if at all.

Without InterimReport
  • Interim checks done verbally or on a handwritten sheet
  • No consistent checklist - different inspectors check different things
  • Paper records misplaced, undated, or never sent to the client
  • No audit trail - impossible to prove when, where and what was checked
  • Failed items noted nowhere - no follow-up, no closure record
  • No indication of which defects are dangerous and which can wait
  • Client has no visibility of the inspection or its outcome
  • Certificate expiry dates tracked manually across spreadsheets
  • Re-inspection reminders manually tracked in diaries or not at all
With InterimReport
  • Structured checklists for every building type - ready-made or your own
  • Every inspector works from the same template for the same job
  • GPS coordinates and timestamp prove the inspector was on-site
  • Reports locked, timestamped and emailed to the client automatically
  • Failed items tracked as corrective actions - assigned, chased and closed
  • Every defect prioritised P1 to Advisory, with a due date to match
  • Secure share link lets clients view the report online - no login
  • Certificate renewal dates tracked per building with expiry alerts
  • Automated re-inspection reminder emails scheduled per building

Mobile App

Complete inspections on-site,
even without signal.

InterimReport includes a dedicated mobile app that works entirely offline. Install it to your phone’s home screen, carry out the full inspection in the building — no Wi-Fi or mobile data needed — annotate photos on-device, record GPS coordinates and sync automatically the moment you’re back online.

Works without signal

Complete the entire checklist, capture and annotate photos, add notes, and record your signature on-site — even in basements, plant rooms, risers or rural sites with no mobile reception. Everything is saved locally on your device.

GPS on every action

Device GPS is captured automatically when you start a report and when you lock it — recording coordinates and timestamp as proof the inspector was physically on-site at the building. GPS metadata is also embedded on every evidence and fail photo you upload.

Annotate photos on-device

Draw directly on evidence and fail photos before uploading — highlight issues with arrows, circles and freehand marks using the built-in annotation tool. Annotations are baked into the image, so the marked-up photo is exactly what appears in the report.

Auto-syncs when online

The moment your device reconnects to Wi-Fi or mobile data, all completed inspections sync automatically to the cloud. Nothing to remember — no manual upload required.

Install to your home screen

The app installs directly from your browser — no App Store, no Google Play. Add it to your iPhone or Android home screen in seconds and it opens like any other app, full screen with no browser chrome. Your signature syncs across desktop and mobile automatically.

Open the Mobile App Works on iPhone & Android  ·  No download required

How It Works

Four steps from on-site to closed out.

InterimReport is designed to work the way inspections actually happen — and to keep working after you leave the building. From the first checklist item to the last corrective action being closed, everything stays in one place.

1

Create the report on-site

Open the mobile app on your phone — online or offline. Choose a template, enter the building and client details, and the checklist is preloaded. Scroll through and record each item as you go. GPS coordinates are captured automatically to confirm your location. Saves on every tap.

2

Complete & sign the inspection

Give each failed item a priority from P1 Immediate danger to Advisory, and attach annotated photos and notes. Upload required evidence photos for specific items. Add the executive summary, scope and limitations — the app can draft the summary for you — and the overall condition is worked out from the priorities. Add your digital signature. Everything stays editable until you lock it. The system calculates an overall pass rate and section-by-section breakdown automatically. Syncs to the cloud when you’re back online.

3

Lock, share & schedule

Lock the report to generate the professional PDF — complete with GPS location, QR code and certificate dates at time of inspection. Recipients are emailed a unique secure share link automatically. Schedule a reminder for the next re-inspection and monitor certificate renewal dates from the property dashboard.

4

Track & close corrective actions

Raise a corrective action against any failed item directly from the locked report. Its due date is set from the defect’s priority. Assign it to a named person — they receive an email with a no-login closure link. Track all open and overdue actions from the Actions dashboard. Closed actions are logged in the report’s audit trail and appear in the PDF appendix.

Platform Features

Everything a building inspection needs, nothing it doesn’t

Offline-Capable Mobile App

A dedicated Progressive Web App (PWA) that installs to your phone’s home screen in one tap — no App Store required. Complete the full inspection on-site with no Wi-Fi or mobile signal. Capture and annotate photos, record your signature and capture GPS coordinates. Syncs to the cloud automatically when you reconnect. Works on iPhone and Android.

GPS Location & Timestamp Evidence

Device GPS coordinates are automatically captured when you create a report and again when you lock it — recording the inspector’s precise location and the exact time of both events. GPS metadata is also embedded on every evidence and fail photo. Coordinates and timestamps appear on the report view, the share view and the locked PDF — providing auditable proof the inspection was carried out on-site, at the building, at the recorded time.

Photo Annotation

Draw directly on evidence and fail photos before they are uploaded — highlight defects, mark locations and add visual context using the built-in annotation tool. Available tools include freehand pen, straight line, arrow, rectangle and circle, with a colour picker and adjustable line width. Up to 30 undo steps. Works entirely offline on the device before upload, so annotations are baked into the image that appears in the report.

Corrective Action Tracking

Raise a corrective action against any failed checklist item directly from a locked report. Assign it to a named person with their email address and a due date — they receive an automated email with a no-login link to mark the action closed. Track all open, overdue and closed actions from the Actions dashboard, with colour-coded urgency indicators. Overdue actions trigger an automated reminder email. All actions are logged in the audit trail and a corrective actions appendix is included in the PDF when actions exist.

Defect Priorities, P1 to Advisory

Give every failed item a priority: P1 Immediate danger, P2 Urgent, P3 Routine or Advisory. Each one has a default due period — same day, 7, 28 and 90 days — that your organisation can change, and corrective actions take their due date from it. Priorities show on the report, share view and PDF, the Actions dashboard sorts and filters by them, and administrators can require a priority on every failed item before a report is completed.

Summary, Scope & Overall Condition

Open each report with an executive summary (drafted for you from the results), recommendations, scope, limitations, areas not accessed and why, people present, site contact and weather. The overall condition — Good, Fair, Poor or Unsatisfactory — is worked out from the defect priorities, and the inspector can override it with a reason. The client’s representative can sign on-site to acknowledge receipt.

Template Library & Fully Custom Templates

Start from a library of 19 ready-made templates covering commercial and public buildings, MEP and building services, fire safety and residential housing. Professional and Enterprise licence holders can adapt any of them or build completely custom templates from scratch — their own sections, checklist items, evidence requirements and order — to match a client’s scope, a building type or an in-house standard. The exact template used is snapshotted on the report at locking, so the locked PDF always reflects the checklist as it was at the time of inspection.

Building & Site Management

Every building or site has its own record in the Properties section. View them all in a searchable, paginated list with last inspection date, report count and re-inspection urgency indicators. Each detail page shows a score trend chart across all locked inspections, a full inspection history, certificate renewal dates, notes, upcoming reminders and quick action links — a complete compliance picture for each building at a glance. Import a whole portfolio from a CSV file — with a Client column to link each building as it is added — or add buildings ahead of a visit so they are ready on the day.

Compliance Certificate Tracking

Track renewal dates for key compliance certificates and assessments — EICR, Fire Risk Assessment, Legionella Risk Assessment, Gas Safety, Emergency Lighting, Fire Alarm, PAT and EPC — against each building record. Status badges show whether certificates are valid, expiring soon or expired. Expiry alerts appear on the dashboard, on the new report creation screen and on the compliance calendar. When a report is locked, the current certificate status for that property is snapshotted into the PDF — providing a point-in-time record of certificate status at the time of the inspection. If the building is matched to a SafetyCert building, the dates come straight from SafetyCert.

Compliance Calendar

A full month-grid calendar view showing all upcoming re-inspection reminders and certificate expiry events in one place. Navigate by month, click any event to view the associated report or building, and use the 60-day upcoming panel for a forward-looking compliance summary. Colour-coded event chips distinguish reminder types at a glance. Overdue and upcoming counts are shown as badges on the calendar nav link throughout the application.

Inspection Score Trend Charts

Each building’s detail page includes an interactive score trend chart showing the overall pass rate across every locked inspection there. Individual data points are clickable and link directly to the corresponding report. Trend direction is visible at a glance — making it easy to identify buildings where conditions are improving or declining over time.

Inspector Message to Client

After locking a report, add a personalised message to the client that is displayed prominently on their share view — visible every time they open the link. Use it to summarise key findings, highlight urgent items or provide next-step guidance. The message can be updated or cleared at any time after locking without affecting the report content itself.

Every Report Fully Customisable

Not every building has a gas supply, a lift or a plant room. Any section can be excluded from an individual report with a single toggle — removing those items from the checklist and the scoring, so the report reflects the building that was inspected rather than a generic template. Excluded sections are clearly noted on the report and PDF.

Photographic Evidence & Fail Documentation

Failed checklist items can have a written note and a photograph attached directly in the app — with the photo annotated on-device and GPS-stamped before upload. Certain inspection items (such as fire door positions, plant room condition or detector locations) require photographic evidence as a mandatory part of completing that item, ensuring the report carries the proof it needs. All photos appear inline in the report PDF and client share view.

Client Management

A built-in client address book stores and searches your client base. Each client record holds their name, email address and address details, and links automatically to every report raised against them — giving you a full inspection history per client at a glance. New clients can be created inline when starting a report, selected from the existing list, or imported in bulk from a CSV file. The client link is also available from individual report views.

Digital Inspector Signature

Capture your signature on screen — on desktop or directly in the mobile app — or upload a saved signature from Settings to reuse across reports. The signature is encrypted at rest and appears on the locked PDF exactly as it would on a paper record. Your signature syncs automatically between the desktop and mobile app.

Report Locking & Client Email

Until it is locked, the whole report — checklist, priorities, photos and summary included — stays editable, even after completion. Locking a report permanently prevents editing and records the exact date, time and GPS location as the official issued record. On locking, the report is emailed directly to the client and any additional recipients — each receiving their own unique, permanent share link. The locked PDF includes a QR code linking to the share view. Once locked, the report is a tamper-proof, timestamped record.

Professional PDF Report

Every locked report generates a clean, professional PDF containing the full checklist results, section scores, fail notes and annotated photos, GPS location evidence, compliance certificate dates at time of inspection, further observations, inspector signature and issued date. A QR code in the footer links directly to the online share view. A corrective actions appendix is included when actions have been raised against the report.

Secure Client Share Links

Generate unique secure links that let clients view their report online without logging in. Links are created automatically for each email recipient on locking, or manually from the report view at any time. Each link can be individually tracked, revoked and set to expire. The share view displays the full report including the inspector’s message, GPS evidence, fail photos and certificate dates.

Re-inspection Reminders

Set a reminder date on any report and specify the recipient email. When the date arrives, an automated reminder email is sent — keeping you and your client ahead of the next inspection without manual diary management. Upcoming and overdue reminders are surfaced on the dashboard and on the compliance calendar, with a badge count in the navigation.

Re-assessment from Previous Report

For repeat inspections at the same building, clone any existing report as a new draft. The address, client details and inspector information are carried forward — ready for the next visit in seconds, with a fresh checklist to work through.

Bulk PDF Download & CSV Export

Professional and Enterprise licence holders can download a single print-ready PDF containing all locked reports for a date range or building portfolio — ideal for compliance folders, client handovers and portfolio audits. CSV export includes full inspector attribution per report for use in external management tools.

Custom Report Branding

Upload your company or organisation logo and it appears automatically on every report PDF and client share link you generate — replacing the default InterimReport wordmark with your own identity. Organisation admins upload once and it applies to all reports created by every member of the organisation.

Audit Trail & Data Security

Every action — creation, edit, completion, locking, PDF download, share link access, corrective action raised or closed — is logged with a timestamped audit entry recording who did what and when. All sensitive data is encrypted at rest using AES-256 encryption, and photographs are encrypted before they are stored. The platform is hosted on UK infrastructure and designed in accordance with GDPR principles.

Works with SafetyCert

Your inspections, filed straight into
SafetyCert

If your organisation or your client uses SafetyCert for building compliance, connect the two. Locked inspections are filed against the right building automatically, and the certificate dates you need on site come from SafetyCert.

Into SafetyCert
  • Each locked report filed against the matched building, with its score and defect counts
  • A PDF copy of the report saved in the building’s documents
  • Failed items raised as compliance issues, with email alerts for P1 defects
  • Your corrective actions shown read-only — closing them closes the issue
  • The next inspection date added to the compliance calendar
From SafetyCert
  • Certificate expiry dates shown read-only against each building
  • Expiry alerts on the dashboard and when you start a new report
  • Certificate status recorded in every locked report PDF
  • Building details such as type, floors and responsible person
  • Buildings matched between the two apps automatically by postcode and address

You Choose What’s Shared

Every part of the connection is switched on or off individually in SafetyCert, and it can be paused or disconnected at any time. Each app keeps its own data, and the two talk over a secure, signed connection.

Built for Service Providers

If you manage SafetyCert for your clients as a Service Provider, link each SafetyCert customer to one of your InterimReport clients. Your reports are filed into the right customer’s account, and each customer decides what you may do there.

No Extra Cost

The connection is included when your organisation holds both an InterimReport and a SafetyCert licence. Set it up from SafetyCert’s settings; InterimReport shows its status under Settings › Integrations.

Common questions answered

Everything you need to know before getting started.

What is an interim building condition report?
An interim building condition report is a structured visual inspection of a building carried out between formal surveys and statutory inspections — such as condition surveys, EICRs, fire risk assessments, gas safety checks and legionella risk assessments. It records what was checked, what was found and when: the fabric, services, fire safety, water systems and general condition, with GPS-stamped photographs and a corrective action for anything that failed. It does not replace those formal inspections, but gives building owners, managers, landlords and their contractors an auditable record of the regular checks in between.
What types of building can I inspect?
Any building. The template library covers offices, retail and industrial units, schools and community buildings, plant rooms, blocks of flats, HMOs and rented homes, and you can build completely custom templates for anything else. Each report can also be tailored to the building on the day by excluding sections that don’t apply.
What are inspection templates and can I create my own?
Templates define the sections and checklist items for an inspection. InterimReport includes a library of ready-made global templates maintained by Construct Software — including Commercial Building Condition, Plant Room & MEP Services, Fire Door, Communal Areas & Block, Void & Unoccupied Building, Practical Completion & Handover and Full Landlord’s Inspection — available to every user. Professional and Enterprise licence holders can also build completely custom templates from scratch, or adapt a global template as a starting point: adding, removing and reordering sections and checklist items, and choosing which items need photographic evidence. You can set a default template for new reports or let the inspector choose when the report is created. When a report is locked, a snapshot of the template as it was at that moment is stored permanently, so the locked PDF always reflects the exact checklist used — even if the template is later changed.
Can I customise the checklist for each report?
Yes. Every report is fully customisable. Any section can be excluded when it doesn’t apply to the building being inspected — for example, if a building has no gas supply, the gas section can be excluded with a single toggle - removing those items from the checklist, the scoring and the PDF. Excluded sections are clearly marked on the report so it is transparent which areas were checked and which were excluded as not applicable.
How does GPS evidence capture work?
When you create a new report, the app automatically requests your device’s GPS location and records the coordinates and timestamp alongside the report. GPS is captured a second time when you lock the report - recording where and when the inspection was finalised. GPS coordinates are also embedded on every evidence and fail photo you upload, capturing the location at the moment of upload. All of this appears on the report view, the client share view and the locked PDF - providing auditable proof that the inspector was physically at the building at the times recorded. GPS capture is optional and never blocks the workflow if permission is denied or location is unavailable.
What is photo annotation and how does it work?
When you capture or select a photo to attach to a fail item or evidence upload, the annotation overlay opens automatically before the image is uploaded. You can draw freehand, add straight lines, arrows (with arrowheads), rectangles and circles over the image to highlight issues or mark specific locations. A colour picker and line width slider let you customise your marks. Up to 30 undo steps are available, and a Clear button restores the original image. When you tap Save & Upload, the annotated image is flattened and uploaded - so the marked-up photo is what appears in the report. You can also skip annotation and upload the original unchanged. The tool runs entirely on your device and works offline.
How does corrective action tracking work?
After a report is locked, you can raise a corrective action against any failed checklist item directly from the report view. The action takes the defect’s priority, and the due date is filled in from that priority’s due period (you can change it). You assign the action to a named person and enter their email address. They receive an automated email with a unique link that lets them mark the action as closed without needing a login. You can track all open, overdue and closed actions from the Actions dashboard, sorted and filtered by priority and colour-coded by urgency. Overdue actions trigger an automated reminder email to the assignee. All raised and closed actions are logged in the report’s audit trail, and a corrective actions appendix is included in the locked PDF whenever actions exist against that report.
How do defect priorities work?
Every failed checklist item can be given a priority: P1 Immediate danger (make safe or isolate immediately), P2 Urgent (potentially dangerous, put right urgently), P3 Routine (put right as planned work) or Advisory (no defect, improvement recommended). The priority shows against the item on the report, the share view and the PDF, and is carried onto any corrective action raised from it. Each priority has a default due period — P1 the same day, P2 7 days, P3 28 days and Advisory 90 days — which your organisation can change in Settings. Administrators can also require a priority on every failed item before a report can be completed.
What is the Summary & Scope page?
Every report can open with a Summary & Scope page: an executive summary (the app can draft one from the results for you to edit), recommendations, the scope of the inspection and its limitations, any areas not accessed with the reason, the people present, the site contact and the weather on the day. The client’s representative can sign to acknowledge receipt on-site, or you can record that they declined or that nobody was present. When you re-assess a building, the scope, limitations and site contact carry forward into the new report.
How is the overall condition worked out?
Each report is given an overall condition — Good, Fair, Poor or Unsatisfactory — worked out from the defect priorities: any P1 makes it Unsatisfactory, any P2 makes it Poor, and a P3 or a failed item without a priority makes it Fair. Otherwise it is Good. The inspector can override the result where their judgement differs, but has to give a reason, and the reason is shown with the condition on the report.
How does compliance certificate tracking work?
Each building record has a Certificates section where you can store the renewal dates for key compliance documents and assessments - EICR, Fire Risk Assessment, Legionella Risk Assessment, Gas Safety, Emergency Lighting, Fire Alarm, PAT and EPC. Status badges show whether each certificate is currently valid, expiring within 30 days or expired. Certificate expiry events appear on the compliance calendar alongside re-inspection reminders. When starting a new report for a building with expiring or expired certificates, an alert is shown so the inspector is aware before beginning the inspection. When the report is locked, the current certificate status for that building is snapshotted into the PDF - providing a point-in-time record of compliance status at the time of the inspection.
Does InterimReport work with SafetyCert?
Yes. When your organisation holds both an InterimReport and a SafetyCert licence, the two can be connected from SafetyCert’s settings at no extra cost. Each building in InterimReport is matched to its SafetyCert building — suggested automatically by postcode and address — and from then on every locked report is filed against that building with a PDF copy, failed items can raise compliance issues (with email alerts for P1 defects), and the next inspection date appears in SafetyCert’s compliance calendar. In the other direction, the building’s certificate dates from SafetyCert show read-only in InterimReport and are recorded in each locked report. Every feature can be switched on or off, and the connection can be paused or disconnected at any time. Service Providers who manage SafetyCert for their clients can link each InterimReport client to the right SafetyCert customer.
Can I attach photos to inspection items?
Yes - in two ways. For pass/fail checklist items, if an item is marked as a fail you can attach a written note and a photograph directly to that item - with the option to annotate the photo before uploading. Both appear in the locked report, giving the client clear evidence of what was found and where. For evidence-type items (such as photographs of fire door positions or plant room condition), uploading one or more photographs is a required part of completing that checklist item. GPS coordinates are captured at the time of upload and appear beneath each photo in the report PDF and share view.
How does client management work?
InterimReport includes a built-in client address book. Each client record stores their name, email address and address, and is automatically linked to every report created for them. When starting a new report you can search for an existing client by name and their details will fill in automatically - or create a new client inline without leaving the report wizard. Existing client lists and building portfolios can be imported from a CSV file — including a Client column on the buildings file, so each building is linked to its client as it is imported — and buildings can be added ahead of a visit so they are ready to select on the day. From the Clients section you can view the full inspection history for any client, and from a report view you can navigate directly to the linked client record.
Does an interim report replace an EICR, fire risk assessment or condition survey?
No. An EICR is a formal inspection and test of the electrical installation by a competent person, producing a condition report with observation codes (C1, C2, C3, FI). A fire risk assessment, a gas safety check, a legionella risk assessment and a building condition survey are likewise formal assessments by competent people. An interim inspection is a visual check of accessible items, with no testing or intrusive investigation. InterimReport documents those interim visual inspections in a structured, professional way — and tracks the renewal dates of the formal ones — but does not produce or replace them.
Does the report lock permanently? Can I edit a locked report?
Until it is locked, the whole report stays editable — the details, the checklist, priorities, photos, evidence and the Summary & Scope page — even after it has been completed, so you can correct or add to it before it is issued. Locking a report is permanent and irreversible. Once locked, the report records the date, time and GPS location of locking as the official issued record, and all further editing is disabled. This preserves the integrity of the inspection record. If you need a new inspection record for the same building, you can use the re-assessment feature to create a new draft from the previous report, which carries forward the address and client details into a fresh, editable report. The inspector message to the client can be updated on a locked report without affecting the inspection record itself.
How does the client share link work?
When locking a report, you can choose to email the report to the client and any additional recipients. Each recipient gets their own unique, permanent share link sent directly to their inbox. You can also generate share links manually from the report view page at any time. Each link lets the recipient view the full report online without logging in - including the checklist, GPS evidence, fail notes and annotated photos, the inspector’s message, and certificate dates at time of inspection. The inspector can see how many times each link has been accessed, revoke individual links at any time, and set manual links to expire after a chosen number of days. A QR code on the locked PDF also links directly to the share view.
How is my data protected?
All sensitive data - building addresses, client details, inspector names, signatures and notes - is encrypted at rest using AES-256 encryption. Photographs are encrypted with AES-256 before they are stored, so a stored image cannot be opened outside the platform. Access to reports is controlled by your login credentials via the Construct Software identity system. Every action taken in the platform is recorded in a tamper-evident audit trail, including who viewed, edited, completed or locked a report, and every corrective action raised or closed. The platform is hosted on UK infrastructure and designed in accordance with GDPR principles.
Can I use InterimReport across a portfolio of buildings?
Yes. InterimReport has no per-building or per-report limit. You can create as many reports as you need within your licence — whether you look after one building or an entire estate. The Properties section gives you a searchable, paginated list of every building with last inspection date, re-inspection urgency and a full detail view including score trends and certificate status. The dashboard includes search and filter tools to find reports by address, inspector, date range and lock status.
Can I add my company logo to the reports?
Yes. You can upload your company or organisation logo in Settings under Branding. Once uploaded, your logo replaces the InterimReport wordmark in the top corner of every report PDF and every client share link you generate. Organisation administrators can upload a single logo that applies automatically to all reports created by every member of the organisation. Individual solo users can upload their own personal logo. A transparent PNG gives the best result, and the image is scaled to fit automatically.
Does InterimReport work on mobile devices?
Yes - and InterimReport includes a dedicated offline-capable mobile app. Install it directly to your iPhone or Android home screen from your browser (no App Store or Google Play required). The mobile app lets you complete the full inspection checklist, capture and annotate photos, record GPS coordinates and capture your signature entirely on-site - even in buildings with no Wi-Fi or mobile signal. Completed inspections are saved locally on your device and sync automatically to the cloud the moment you reconnect. The full web application also works on any mobile browser for when you are online.
